SeaterOS Privacy Policy
Last Updated: April 2026
1. Introduction
Welcome to SeaterOS. We are committed to respecting your privacy and protecting your personal data. This Privacy Policy explains how we collect, process, and store your data when you use the SeaterOS platform, either as a Venue (restaurant owner/staff) or as a Customer making a reservation.
2. Our Role: Data Processor vs. Data Controller
We operate under a dual-relationship model to ensure legal compliance and the best experience:
- For Venue Reservations (Data Processor): When you make a reservation at a specific restaurant ("Venue") using SeaterOS, that Venue is the Data Controller of your reservation data. SeaterOS acts strictly as the Data Processor. We provide the software tools for the Venue to manage their bookings, customer notes, and preferences. We do not use this specific reservation data to cross-market competing venues to you for the same date and time.
- For Local Ecosystem & Guides (Data Controller): SeaterOS operates within a broader local tourism and hospitality network. If you explicitly opt-in (e.g., by checking the "Keep me updated" box during booking), SeaterOS acts as an independent Data Controller for that contact information. We may use this data to send you exclusive local guides, dining recommendations, and offers from our affiliated local companies to enhance your travel and local experience.
3. What Data We Collect
We collect data to facilitate reservations and improve our services:
- From Customers: Name, email address, phone number, reservation details (date, time, party size), and any special requests or dietary notes provided during booking.
- From Venues: Business details, staff names, email addresses, phone numbers, and operational data needed to configure the SeaterOS account.
- Technical Data: IP addresses, browser types, and usage data collected automatically when interacting with our platform, to ensure security and improve user experience.
4. How We Use Your Data
Your data is used for the following purposes:
- To process, confirm, and manage your restaurant reservations (including sending OTP codes, email confirmations, and SMS reminders).
- To allow Venues to build their own customer relationship management (CRM) profiles to provide you with better, personalized service on future visits.
- If you opted in: To share with our trusted local tourism affiliates to provide you with curated content, local guides, and promotional offers designed to elevate your local experience.
- To analyze aggregated, non-personally identifiable usage data to improve our software.
5. How We Do NOT Use Your Data
We believe in ethical data practices and maintaining the trust of our Partner Venues:
- We do not sell your personal data to third-party data brokers.
- We do not use the contact information collected through a specific Venue's booking portal to directly solicit you to a direct, named competitor for the exact same date and time.
- We do not store or process full credit card numbers. Any payments made to secure a booking are processed directly through certified third-party payment gateways (e.g., Stripe).
6. Data Security and Retention
We implement strict security measures, including encryption and secure servers, to protect your data against unauthorized access. We retain personal data only for as long as necessary to fulfill the purposes outlined in this policy or as required by law. For opted-in marketing lists, data is retained until you choose to unsubscribe, which you can do at any time by clicking the link at the bottom of our emails.
7. Your Privacy Rights
Under applicable data protection laws (such as GDPR), you have the right to access, correct, delete, or restrict the processing of your personal data. To exercise these rights regarding your reservation data, please contact the specific Venue where you booked. To exercise these rights regarding our local ecosystem marketing, or for any general privacy inquiries, please contact us at privacy@seateros.com.
